Privacy Notice

As a business, we collect and process personal information to enable us to provide the best services to you as our clients, to maintain our records and accounts correctly, to promote our services and provide you with information we believe you will find useful.

This document gives you more information about:

  • the sort of information we collect
  • why we collect your information and what we do with it
  • who we might share the information with
  • your rights

What sort of information do we collect?

The information we ask you for generally falls into two different categories:

Contact information (e.g. name, address, email)

Health & lifestyle information (e.g. general health issues, any medical conditions you may have, medication you may be taking)

Most of this information will be gathered at your first massage appointment or prior to the start of your baby massage course.

Why do we collect this information? What we do with it?

Contact information is just that – to enable us to contact you!  This is for two main reasons:

  • With regards to your appointments with us (massage therapy or baby massage courses). This may be email, phone/text or post.  We will usually only call or text you if we need to contact you more urgently e.g. if there is a query about your upcoming appointment.
  • To share information we think you might find helpful and to keep you updated with our news and offers. This is usually by email, occasionally by post.

You can opt out of receiving marketing information from us, in which case we will only contact you regarding your appointments.

Contact information is held securely on paper (in a locked cabinet) and online (password protected)

Health information is requested to enable a safe and effective treatment for you (and your child, in the case of baby massage).   We want to make sure that our treatments are tailored to your needs, and so the better we understand these, the more we can help.  Also, whilst massage is a very safe treatment, there are some contra-indications that mean we might need to adapt your treatment or ask you to get further information/advice from a health professional.

As massage is a holistic treatment we might also ask some lifestyle questions e.g. about stress levels, what you do to relax, exercise that you do.

This information will usually only be seen by me, and will only be referred to in the context of the treatment.

It is not stored on-line at all, but is kept in paper format in a locked cabinet.

In line with our insurance, records are kept for 10 years since your last treatment (in the case of children, the 10 years starts when they become an adult).

Who might we share your information with?

The confidentiality of your information is taken very seriously.  It is stored securely and is not shared with anyone not involved in your treatment.

We will only share medical information if requested by your doctor or other healthcare practitioners, and we will always inform you and seek your consent first, unless we are under a legal obligation to comply.  The only exception to this is in the very rare case that we believe you to be at risk of causing danger to yourself or others.

York Natural Health Ltd will receive contact details for clients seen at their premises, however no medical information will be stored on their system.  York Natural Health Ltd have their own strict privacy controls in place, more information is available on their website (www.yorknaturalhealth.co.uk).

Cookies are installed on our website by default, if you do not wish this to be the case then you may disable cookies on your computer in the internet browser settings.  The website (WordPress) is protected by the EU US data shield agreement.

Email marketing is carried out through Mailchimp. Mailchimp is within the EU US data shield. You can opt out of this email marketing at any point.

We will never sell your information to anyone.

If you have given us permission to, we may use photos of you/your baby to promote our baby massage classes.  More details can be found on the baby massage booking form.  If you change your mind/ want us to stop using the photos you can let us know at any time.

If you have given feedback about a service we provide (massage or baby massage) we may use this to help promote our services and guide potential clients as to what to expect.  Your words will be used but you will not be identified.  If you have any concerns about this please let us know.

Accessing your information

You have the right to access and/or correct information you have about you.

If you wish to receive a copy of the information we hold for you, please contact me (see below) to arrange this.  In line with best practice guidelines you will be asked to complete a subject access request and to provide confirmation of your identity.  The information will be provided to you as soon as possible and within a 30 day maximum period.
